When success is the biggest problem
A brand-new Hungarian webshop, two weeks after launch. A true garage business: a husband and wife selling books and gifts. They planned it the way almost everyone does: grow slowly and steadily, with time to figure everything out along the way.
Then, overnight, hundreds of orders a day started coming in.
The processes were not wrong. There were no processes.
What works by hand at ten orders a day falls apart at hundreds. Invoices were issued by hand, parcels were shipped by hand, and stock lived in someone’s head. There was no time left for email, customers got no answers, and the first angry comments appeared.
For a new company this is the most dangerous moment. Once the avalanche starts, it can bury a shop within days, before it ever really got going.
They needed help right away. We had a few days to help them skip a few years of learning.
A few days, four steps
- Customer support first. We set up email support so every message landed in one place and every customer got an answer. This mattered most, because it stopped the avalanche.
- Invoicing, shipping and tracking, on their own. Every order now becomes an invoice and a shipped parcel automatically, and customers are told where their order is without anyone lifting a finger.
- Stock that updates itself. Orders and cancellations both update stock automatically, so they never sell what is no longer on the shelf.
- Warehouse management and a CRM. Stock and customer data in one system, connected to the webshop.
So where did all those customers come from?
The wife. It turned out she is a natural at online marketing: on her own, on a small budget, she put together a TikTok campaign that plenty of big-name marketing gurus would envy.
All we added was a system that could keep up with what she started.
What to know before it happens to you
- Success can be a problem too. If the system is not ready, even the best campaign drowns in angry comments.
- Customers need an answer first. Invoicing can wait a day. An angry customer cannot.
- Automate while you are small. At ten orders it does not hurt. At hundreds it is too late to start.
